Reading With Technology Is Fundamental

For it's 45th anniversary, the non-profit organization, Reading is Fundamental (a.k.a. RIF) came out with a new logo and brand this past November.

RIF's vision is "a literate America in which all children have access to books and discover the joys and value of reading."

Their new logo--can be seen in comparison to the prior version at Brand New--and is supposed to re-energize RIF, which according to its own press release has lost its public awareness and almost $25 million in Congressional funding.

While the logo is bolder with the yellow and blue and a more rounded and open book, I think that RIF has really missed the mark here in terms of being contemporary and in tune with the times. 

Most kids, like their adult mentors, are doing more and more reading not in traditional paper books, but rather online and through mobile applications. 

Whether using tablet readers like the iPad, Nook, or Kindle Fire or just going online and surfing the Internet for news, information, research and more, technology is changing the way we read. 

At a time when the largest book stores are closing down--Borders is already gone and Barnes and Nobles is experiencing financial problems as well, and the publishing industry is in trouble and continuing to lose subscribers and ad dollars, the shift to technology is jarring. 

While RIF does mention in their press release--4 bullets in--that they want to increase mobile applications to "create mobile literacy experiences for children and families to enjoy while on the go," RIF is definitely missing the bigger picture here--which is that reading is moving to technology platforms and is not just just another supplemental vehicle for people anymore.  

On their site store, RIF sells monogrammed iPhone and iPad cases, but why not actual computers, book readers, and learning software--perhaps donated, recycled, or even subsidized models for families in need. 

Additionally, RIF can become more environmentally-friendly by promoting use of energy-efficient technology and reusing, recycling, and reducing thereby helping us move toward a more efficient, thrifty, and paperless society. 

Don't get me wrong, I love books, newspapers, and magazines, but the time that I spend with a hardcopy in my hands these days, is maybe 20% of the time that I am reading and writing online.  

To serve American families in driving literacy, RIF firsts needs to be relevant and another book logo just doesn't get them where they need to be technologically and environmentally.

Paper Catalogs Have Seen Their Day

Every day in the mail comes oodles of consumer catalogs: printed on quality stock paper, glossy, and many almost as thick as the community phone book.

Often, right in the mailroom, there is a huge recycle bin and there just about everybody drops the catalogues from their mailbox straight into the “trash.”

Who needs these expensive and wasteful printed catalogues that typically go from mailbox to recycle bin or garbage can without anyone even breaking the binding on them? With the Internet, the same information—and more—is available online. Moreover, online, you can comparison shop between stores for the best prices, shipping, and return policies, and you can typically get product and vendor ratings too to make sure that you are not buying a dud from a dud!

Despite this, according to the Wall Street Journal, 16 October 2009, “more than 17 billion catalogs were mailed in the U.S. last year--about 56 for every American.”

Read again—56 for every American! This is obscene.

Here are some basic statistics on the wastefulness of these catalogs:

“Catalogs account for 3% of the roughly 80 million tons of paper products.”

“Making paper accounted for 2.4% of U.S. energy use in 2006.”

“The paper typically used in catalogs contains about 10% recycled content…far less than paper in general, which typically contains about 30%...[and] for newspapers, the amount of recycled content is roughly 40%.”

“The average U.S catalog retailer reported mailing about 21 million catalogs in 2007.”

“The National Directory of Catalogs…lists 12,524 catalogs.”

YET…

“Only 1.3% of those catalogs generated a sale.”

So why do printed paper catalogs persist?

Apparently, “because glossy catalog pages still entice buyers in a way that computer images don’t.” Moreover, marketers say that catalogs at an average cost of slightly over a $1.20 each “drive sales at web sites.”

And of course, the U.S. Postal Service “depends on catalogs as an important source of revenue.”

However, in the digital era, it is time for us to see these paper catalogs get converted en-mass into e-catalogs. Perhaps, a paper copy can still be made available to consumers upon request, so those who really want them and will use them, can still get them, but on a significantly more limited basis.

Sure, catalogs are nice to leaf through, especially around the holiday time. But overall, they are a profligate waste of money and a drain on our natural resources. They fill our mailboxes with mostly “junk” and typically are completely unsolicited. With the advent of the Internet, paper catalogs are “overcome by events” (OBE), now that we have vast information rich, e-commerce resources available online, all the time.

Normally, I believe in taking a balanced approach to issues, and moderating strong opinions. However, in this case, we are talking about pure waste and harm to our planet, just because we don’t have the capacity to change.

We need to stop persisting in the old ways of doing business when they are no longer useful. This is just one example of those, and business that don’t transition to digital modernity in a timely fashion risk becoming obsolete along with their catalogs that go from the mailbox right into the trash.

What Stops Us From Going Cashless

How many of you ever wondered why we continue to use dollar bills and coins when we have credit and debit cards that make cash virtually obsolete?

I for one have long abandoned cash in lieu of the ease of use, convenience, orderliness of receiving monthly statements and paying electronically, and the cleanliness of not having to carry and handle the cold hard stuff.

Not that I am complaining about money at a time of recession, but seriously why do we not go dollar-digital in the “digital age”?

Before debit cards, I understood that some people unfortunately have difficulty getting the plastic because of credit issues. But now with debit cards, everyone can shop and pay digitally.

Even government run programs like the Supplemental Nutrition Assistance Program (SNAP aka food stamps) now uses an electronic card for purchasing no money paper stamps.

It seems that credit/debit card readers are pretty much ubiquitous—stores of course, online—it’s the way to go, even on the trains/buses and candy machines.

From the taxman perspective, I would imagine it is also better and more equitable to track genuine sales transactions in a documented digital fashion than enabling funny “cash business.”

So why don’t we go paperless and coinless and fully adopt e-Commerce?

An interesting article in the Wall Street Journal, 11 Sept. 2009, described a trendy NYC restaurant that was doing just that.

“The high-end New York City restaurant said goodbye to dollars: Tip in cash if you like but otherwise, your money is no good here.”

Others have been going cashless for some time now.

“In the world of online and catalog retailing, credit and debit cards have long been king. And in recent years, a handful of airlines have adopted ‘cashless cabins.’”

As the NYC restaurant owner said, “Suddenly, it struck me how unnecessary cash was…[moreover,] the convenience and security of going cashless are well worth the added cost.”

Further, from the customer perspective, using a debit or credit card lets users optimize their cash flow and earn reward points.

I believe that the day is coming when bites and bytes are going to win over paper and coins.

This is going to happen, when the IRS requires it, the government stops printing it because it always has (i.e. inertia), when retailers recognize that the benefits of digital money outweigh the fees, and when resistance to change is defeated by common sense of modernization.

E-memory and Meat Memory

As we move towards a “paperless society” and migrate our data to the computer and the Internet, we can find personal profiles, resumes, photos, videos, emails, documents, presentations, news items, scanned copies of diplomas and awards, contact lists, and even financial, tax, and property records.

People have so much information on the web (and their hard drive) these days that they fear one of two things happening:

  1. Their hard drive will crash and they will lose all their valuable information.
  2. Someone will steal their data and their identity (identity theft)

For each of these, people are taking various precautions to protect themselves such as backing up their data and regularly and carefully checking financial and credit reports.

Despite some risks of putting “too much information” out there, the ease of putting it there, and the convenience of having it there—readily available—is driving us to make the Internet our personal storage device.

One man is taking this to an extreme. According to Wired Magazine (September 2009), Gordon Bell is chronicling his life—warts and all—online. He is documenting his online memory project—MyLifeBits—in a book, called Total Recall.

“Since 2001, Bell has been compulsively scanning, capturing and logging each and every bit of personal data he generates in his daily life. The trove includes Web Sites he’s visited (22,173), photos taken (56,282), docs written and read (18,883), phone conversations had (2,000), photos snapped by SenseCam hanging around his neck (66,000), songs listened to (7,139) and videos taken by (2,164). To collect all this information, he uses a staggering assortment of hardware: desktop scanner, digicam, heart rate monitor, voice recorder, GPS logger, pedometer, Smartphone, e-reader.”

Mr. Bell’s thesis is that “by using e-memory as a surrogate for meat-based memory, we free our minds to engage in more creativity, learning, and innovation.”

Honestly, with all the time that Bell spends capturing and storing his memories, I don’t know how he has any time left over for anything creative or otherwise.

Some may say that Gordon Bell has sort of an obsessive-compulsive disorder (OCD)—you think? Others that he is some sort of genius that is teaching the world to be free and open to remembering—everything!

Personally, I don’t think that I want to remember “everything”. I can dimly remember some embarrassing moments in elementary school and high school that I most sure as heck want to forget. And then there are some nasty people that would be better off buried in the sands of time. Also, some painful times of challenge and loss—that while may be considered growth experiences—are not something that I really want on the tip of my memory or in a file folder on my hard drive or a record in a database.

It’s good to remember. It’s also sometimes good to forget. In my opinion, what we put online should be things that we want or need to remember or access down the road. I for one like to go online every now and then and do some data cleanup (and in fact there are now some programs that will do this automatically). What I thought was worthwhile, meaningful, or important 6 months or a year ago, may not evoke the same feelings today. Sometimes, like with purchases I made way back when, I think to myself, what was I thinking when I did that? And I quickly hit the delete key (wishing I could do the same with those dumb impulse purchases!). Most of the time, I am not sorry that I did delete something old and I am actually happy it is gone. Occasionally, when I delete something by accident, then I start to pull my hair out and run for the backup—hoping that it really worked and the files are still there.

In the end, managing the hard drive takes more work then managing one’s memories, which we have little conscious control over. Between the e-memory and the meat memory, perhaps we can have more of what we need and want to remember and can let go and delete the old and undesired one—and let bygones be bygones.

The Paperless Society and Enterprise Architecture

For years, we’ve all heard the promise that technology will soon make us a paperless society—but it hasn’t!

In the book, Sacred Cows Make The Best Burgers, by Kriegel and Brandt, the authors state that “most people’s desks look like they’ve been hit by a paper avalanche.”

Have things gotten better or worse?

Kriegel and Brandt state that between 1983 and about 1996, “shipments of paper actually increased by 51%.

Further, they state that “a vice president of a major telecommunications company showed us a study that...on average, people got over 90 hours’ worth of “stuff” to read each week! And only 20 percent of that was electronic...the same study showed that despite all the advancements in information technology, the amount of paper received today had not been reduced from ten years ago.”

Do we need all this paper?

Absolutely not. “50 percent of a company’s paperwork could be eliminated without the slightest disruption to business.”

In fact, the authors recount a telling story about how a courageous manager and his/her employees slowly eliminated parts of a costly, time-consuming detailed 10 column monthly report they put together for the management committee, by first eliminating some columns and then more and more until finally they produced only 4 key columns quarterly. Instead of the management committee complaining, no one even noticed anything was missing (the columns or later the monthly report), until after a number of months, the CEO congratulated them on their good work with the new clear and simple quarterly report.

What has the government done to reduce paperwork?

  • Paperwork Reduction Act of 1995, “one of the principal requirements of the PRA is that organizations must have OMB approval before collecting information from the public (such as forms, general questionnaires, surveys, instructions, and other types of collections).” (http://www.usa.gov/webcontent/reqs_bestpractices/laws_regs/paperwork_reduction.shtml)

What should we do in our organizations to reduce the paperwork?

According to Kriegel and Brandt, if paperwork doesn’t “add value to the customer, increase productivity, or improve morale,” then it should be eliminated.

From a User-centric EA perspective, we need to ask our users and stakeholders if they really need or want the paperwork we’re giving them, and if not we need to update our business processes and enable technology solutions to eliminate the legacy paper-based solutions. To some extent this is occurring already, in other cases, it is not. The more we become an information-based society, the more we need and crave information and some people don’t trust the technology or simply want a hard-copy to read or for their records. Paper is not a bad thing. It is a tried and true method of recordkeeping and communication, but when we have so much that we cannot even keep up with it, then it’s definitely time to reevaluate our true needs and go a little easier on our environment. Why chop down all those trees, for reports, proposals, print-outs, and projections that often just end up, unread in the round file (i.e. the garbage) anyway?
